ProposalGPT is an AI-powered RFP management system that streamlines the entire proposal development lifecycle—from uploading solicitation documents and generating custom outlines to drafting responses and assembling final proposals. It also enables collaboration, reuse of company assets, and ensures compliance with solicitation requirements.

2. What file types can I upload to ProposalGPT?

ProposalGPT supports the following file formats:

 PDF, DOCX, DOC, DOCS, TXT, XLS, XLSX

 These can be used for solicitation files, resumes, past performance documents, and proposal templates.

3. How does ProposalGPT generate content from my RFP documents?

Once you upload a solicitation file, ProposalGPT uses AI to extract critical fields such as Solicitation Name, Number, Due Date, and Evaluation Criteria. Based on this, it generates a customized proposal outline and drafts response content tailored to the specific RFP instructions and scope.

4. Can I customize the AI-generated outline and content?

Yes. Users can fully edit, add, or delete sections in the AI-generated outline. Each section allows you to input a custom writing prompt (referred to as the Writing Plan) for more precise and tailored AI output.

5. How do I reuse resumes and past performances in multiple proposals?

You can upload resumes and past performance documents under their respective sections. ProposalGPT parses and saves key information so they can be reused intelligently across proposals where relevant, saving time and ensuring consistency.

6. Can I invite my team to work on proposals collaboratively?

Yes. You can invite team members via the Teammates tab. While collaboration is role-based, task assignments, document contributions, and outline inputs are managed through dedicated interfaces within the platform.

7. How secure is ProposalGPT? Does it support Multi-Factor Authentication (MFA)?

Yes, ProposalGPT supports Multi-Factor Authentication (MFA) for enhanced security. Users can enable MFA via the Settings panel by scanning a QR code using apps like Google Authenticator or Authy.

8. Can I use my own branded proposal template?

Absolutely. You can upload your custom .docx or .doc template under the Proposal Templates section. You can also mark one template as “Favorite” to be used as the default for all new proposals.

9. How do I manage billing and subscription details?

Billing management is handled under the Payments tab in Settings. From here, you can change your subscription plan, update your payment method, or cancel your subscription.

10. What happens if I need to regenerate a proposal draft?

You can return to the outline or solutioning phase, make changes (e.g., revise prompts, add new inputs), and then click “Re-Generate Proposal”. The system will create a new draft while preserving previous versions under the Proposal Drafts tab.
