Settings and User Account Management

The Settings section in ProposalGPT enables users to manage their personal profile, security preferences, subscription details, and notification settings. This section helps ensure your account is up-to-date, secure, and configured according to your individual or organizational needs.

A) Profile Management

You can update your basic account information in the Profile tab of the Settings section. To access:

  • Navigate to the Settings tab from the left sidebar

  • Open the “Profile” sub-tab

Editable Profile Fields:

  • First Name – Update your first name

  • Last Name – Update your last name

  • Email Address – Modify your registered email

  • Function(s) – Select or change your functional role (e.g., Administrator, Technical Writer, etc.)

To save any changes, edit the desired fields and click the “Update” button. Your profile information will be updated instantly.

B) Multi-Factor Authentication (MFA)

To enhance the security of your account, ProposalGPT supports Multi-Factor Authentication (MFA) using authenticator apps.

Enabling MFA:

  1. Click on the “Enable MFA” button.

  2. A QR code will be displayed on-screen.

  3. Open your authenticator app (such as Google Authenticator or Authy) on your mobile device.

  4. Scan the QR code or manually enter the secret key provided.

  5. A 6-digit code will be generated in the app.

  6. Enter the code into the provided field on the ProposalGPT screen.

  7. Click “Verify & Enable” to activate MFA.

  • Once enabled, you will be required to enter a new 6-digit verification code from your authenticator app during each login attempt.

C) Change Password

To update your password:

  1. Go to the “Change Password” section within the Settings tab.

  2. Enter your current password.

  3. Enter and confirm your new password.

  4. Click “Update” to save the change.

You will receive confirmation once your password has been successfully updated.

D) Payment and Subscription Management

To manage billing, subscriptions, and payment details:

  1. Navigate to the Settings tab

  2. Click on the “Payments” sub-tab

Available Actions:

  • Cancel Subscription

    • Click the “Cancel Subscription” button



  • Confirm the cancellation when prompted

  • Change Subscription Plan

    • Click the “Change Plan” button

  • Select the desired plan from the available options



  • Click “Subscribe”

  • Enter your payment details (if not already saved)

  • Click “Pay Now” to activate the new plan



  • Update Card Details

    • Click the “Change Card” button

  • Enter your new card information

  • Click “Update” to save the new details

The system will securely store your updated payment information for future billing.

E) Notification Preferences

To manage your email and system notification preferences:

  1. Open the “Notifications” sub-tab under Settings.

  2. Use the radio buttons to enable or disable specific alerts.

Alerts when an RFP due date is approaching

Proposal Generation Completes

Notifies you when a proposal draft has been successfully generated

New Team Members Added

Alerts when a new team member is added to your workspace or team project

These notifications help you stay informed and aligned with proposal timelines and workspace activities.
